The training matrix can contain a large amount of information, particularly for organizations with multiple sites, departments, and users. Filters allow you to narrow down the displayed data and quickly find the information you need.
Access to the Training Matrix is controlled by user roles.
Group leaders have access to training matrix data for all users within their group.
They can:
· View all users assigned to their group.
· Monitor course progress.
· Review compliance status.
· Track refresher requirements.
· Export Training Matrix reports.
Site leaders also have access to the training matrix.
However, Site Leaders can only view users assigned to their site.
They can:
· Monitor site-level training progress.
· Review compliance status for site users.
· Track refresher requirements.
· Export site-specific reports.
Users with subscriber access do not have access to the training matrix.
The information displayed within the training matrix is generated dynamically from user records, course assignments, and training activity.
When a new user is added to a group and assigned courses, that information is automatically included within the training matrix.
Likewise, when users complete training, their progress and completion status are automatically reflected within the report.
The Search Users filter allows you to quickly locate a specific user within the Training Matrix.
Simply enter part or all of a user's name, and the table will display matching records only.
This is particularly useful when:
· Reviewing an individual's progress.
· Investigating training issues.
· Checking completion dates.
· Reviewing refresher requirements.
If a recently added user does not appear in the search results:
· Confirm the user has been added successfully.
· Confirm the user has been assigned to the correct site.
· Refresh the page and try again.
· Contact the platform administrator if the issue persists.
The course filter allows you to view training matrix data for a specific course.
Only courses assigned to your group will appear within this filter.
When a course is selected:
· The training matrix displays data related to that course.
· User progress can be reviewed more easily.
· Compliance issues can be identified more quickly.
· Refresher requirements can be monitored.
The course list is generated dynamically based on the courses available to your group.
The site filter allows training data to be viewed by site or location.
When a site is selected:
· Only users assigned to that site are displayed.
· Training data for other sites is hidden.
· Compliance can be reviewed on a site-by-site basis.
This filter is particularly useful for organisations managing multiple locations.
A group leader responsible for five sites may wish to review compliance for a single location.
Selecting the site from the Site filter will display only users assigned to that location.
The Status filter allows records to be filtered according to course status.
This makes it easy to identify users requiring attention.
Available statuses may include:
The course has been assigned to the user but has not yet been started.
This status may indicate that:
· The user is new to the platform.
· The user has not yet begun the assigned training.
· Follow-up action may be required.
The user has started the course but has not completed all required learning activities.
This status allows managers to identify users who have begun training but still need to complete it.
The course has been successfully completed.
Where applicable, the completion date will also be displayed within the training matrix.
This status indicates that a course is approaching its expiry date.
The user should complete the refresher training before the course expires.

This status indicates that the course validity period has expired.
The training is no longer considered current and should be refreshed as soon as possible.
The role filter allows users to be filtered according to their assigned role.
Roles are assigned when users are created and help categorise employees according to their job function or responsibilities.
This filter can be useful when:
· Reviewing training requirements for a particular role.
· Monitoring compliance by job function.
· Identifying training gaps within a specific team.
Multiple filters can be used simultaneously to create highly targeted views.
For example:
· Site + Status
· Course + Status
· Role + Course
· Site + Role + Status
Combining filters allows managers to quickly identify specific compliance concerns without reviewing the entire training matrix.
If users have recently been added but do not appear within the training matrix:
1. Confirm the user has been created successfully.
2. Confirm the user has been assigned to a site.
3. Refresh the training matrix.
4. Reapply filters.
5. Contact support if the issue continues.
In some cases, report data may require refreshing.
If no records are displayed:
· Verify that the selected filters contain matching records.
· Remove filters one at a time.
· Refresh the page.
· Confirm users have been assigned courses.
