Certificates provide proof that a course has been successfully completed. Depending on your role within the platform, you may be able to access your own certificates or view certificates belonging to other users within your site or group.
This article explains where certificates can be found, how to download them, what information is included on a certificate, and what to do if a certificate cannot be located.
A certificate becomes available once a learner has successfully completed all requirements of a course.
This normally means:
All lessons have been completed.
Any required quizzes have been passed.
The course status shows Completed.
Once the course has been completed, the certificate can usually be viewed and downloaded immediately.
Access all certificates from My certificates page
As a learner, all available certificates can be accessed from the My Certificates page.
The My Certificates page contains a list of every certificate that has been generated for your account.
For each certificate, you can see:
Course name
Completion date
Certificate download/view option
This provides a single location where you can access certificates without having to revisit individual courses.
Typical Process
Log in to the platform.
Open My Certificates.
Locate the completed course.
Click View Certificate.
Open, download, or print the certificate as required.
If you have completed multiple courses, all available certificates will be listed together for easy access.
Access certificates from course page
For many courses, a certificate can also be accessed directly from the completed course page.
When a course has been successfully completed, the course page may display a certificate button, such as:
Print Certificate
View Certificate
Download Certificate
This provides a quick way to access the certificate immediately after finishing the course.
However, the My Certificates page remains the easiest place to find all certificates in one location.
Employee Certificates (Leaders and Administrators)
Site Leaders and Group Leaders have additional access to certificates through the Employee Certificates page.
This allows leaders to monitor training completion across their teams.
From the Employee Certificates page, leaders can:
Search for specific users.
Filter certificates by course.
View course completion dates.
Open user certificates.
Verify training completion.
Support audit and compliance requirements.
This makes it easier to confirm that employees have completed required training and obtained their certificates.
Understanding the Employee Certificates Page
The Employee Certificates page contains several tools that help leaders quickly find certificates.
User Search
The search box allows leaders to locate a specific user.
For example, if you need to check whether a particular employee has completed training, simply search for their name.
Course Filter
The course filter allows certificates to be filtered by course.
This is useful when checking completion records for a specific training programme.
For example:
Allergen Awareness
Level 2 Food Safety
Fire Safety Awareness
COSHH
Manual Handling
and other available courses.
Certificate List
The results table displays:
Employee name
Course name
Completion date
Certificate access button
Selecting View Certificate opens the certificate associated with that course completion.
Certification Structure
Certificates are designed to provide a clear record of successful course completion.
Although certificate designs may vary slightly between academies, they generally include:
Learner name
Course title
Completion date
Certificate title
Organisation branding
Authorised signature
Certificate wording confirming successful completion
These details help demonstrate that the learner completed the training requirements for the course.
Example Certificate Information
A certificate may contain information such as:
Certificate of Achievement
Learner's full name
Course completed
Date completed
Company or academy branding
Director or authorised signature
The exact appearance may differ, but the purpose remains the same: to provide formal evidence of course completion.
Why Can't I See a Certificate for a Completed Course?
Sometimes a course may show a 'Completed' status, but no certificate appears within the platform.
In many cases, this is expected behaviour.
Train4Academy Courses
Some courses available through the platform are provided by Train4Academy.
For these courses:
The course completion may be recorded within the platform.
The certificate is not stored in the platform's certificate area.
Certificates are sent directly to the learner by Train4Academy.
Because of this, you may not see those certificates listed on:
My Certificates
Employee Certificates
Course certificate sections
even though the course itself shows as completed.
Courses provided by Train4Academy
The exact list may vary by academy, but common examples include external Train4Academy training courses delivered through integration with the platform.
These certificates are normally issued directly by Train4Academy rather than being generated and stored within the academy platform.
This is the list of Train4Academy courses:
Level 1 Food Hygiene and Safety for Catering
Level 1 Food Hygiene and Safety for Manufacturing
Level 1 Food Hygiene and Safety for Retail
Level 1 HACCP Awareness
Hand Hygiene for Food Workers

Common Reasons Certificates May Not Be Available Yet
A certificate may not appear immediately if:
The course has not been fully completed.
A required quiz has not been passed.
Progress has not yet been recorded.
The course is still showing In Progress.
The certificate is provided by an external training provider.
Checking the course status is usually the first step when investigating missing certificates.
Platform Variations
Certificate functionality is generally consistent across academies.
However, some academies may:
Use different certificate designs.
Display certificates in different locations.
Provide additional certificate management features.
Use external training providers for certain courses.
The overall process remains the same:
Complete the course requirements.
Receive a completion status.
Access the certificate through the platform or the external training provider.
Summary
Certificates provide evidence that a learner has successfully completed a training course.
Learners can normally access their certificates through the My Certificates page or directly from completed courses. Site Leaders and Group Leaders can additionally use the Employee Certificates page to view certificates for users within their area of responsibility.
If a completed course does not display a certificate, it may be a course supplied by Train4Academy, where certificates are issued directly by email rather than stored within the platform. In these cases, check your registered email account, including spam and junk folders, before contacting your administrator for assistance
