The Refresher Report is designed to help Group Leaders monitor course refresher requirements across their group. It provides a central view of users whose courses are approaching their refresher date or have become overdue.
This report is particularly useful for compliance monitoring, audit preparation, and ensuring that employee training remains up to date.
Important: Group Leaders can only view refresher information for users within their own group. Data from other groups is not visible.
The report displays all users who have refresher settings applied to their courses and whose course status is either:
Refresher Required
Refresher Overdue
Courses without refresher settings will not appear in this report.
The filters at the top of the page allow you to quickly find specific refresher records.
Use the All Courses dropdown to filter the report by a specific course.
This is useful when you want to review refresher requirements for a single course rather than all courses.
Use the All Status dropdown to filter records based on refresher status.
Available options include:
Refresher Required
Refresher Overdue
This allows you to focus on users who need refresher training soon or users who have already passed their refresher deadline.
Use the All Teams dropdown to filter data by team.
This can help managers and group leaders review refresher requirements for a specific team without viewing the entire group.
The report table contains detailed information about each user and course.
Displays the name of the user assigned to the course.
Shows the course that requires a refresher or has become overdue.
This is the date on which the user becomes eligible or due for refresher training according to the refresher settings configured for the course.
This is the date after which the refresher is considered overdue.
If the user has not completed the refresher by this date, the course status will change to Refresher Overdue.
Displays the group to which the user belongs.
Displays the team assigned to the user within the group.
Shows the trainer associated with the course where applicable.
Displays the amount of time taken by the user to complete the course.
This column provides a shortcut for the required refresher action.
Depending on the course setup, users may need to:
Retake the entire course, or
Retake the course quiz
The Status column is the most important part of the report.
It identifies the current refresher state of the course.
Possible statuses include:
The user is now due to complete refresher training but has not yet reached the overdue period.
This status serves as an early reminder that action is required.
The refresher deadline has passed, and the user has not completed the required refresher training.
This status indicates that immediate action may be required to maintain compliance.
The report includes a built-in email notification feature.
Select the checkbox next to one or more users.
Click Send Email.
The selected users will receive a notification regarding their refresher status.
You can select multiple users at the same time, making it easy to notify large numbers of employees with a single action.
This feature is particularly useful when preparing for audits or managing upcoming refresher deadlines.
The Refresher Report provides two export options.
The Export to Excel option exports only the records currently displayed on the active page.
For example:
If you are viewing page 1, only page 1 records will be exported.
If you are viewing page 2, only page 2 records will be exported.
This export respects any filters currently applied to the report.
The Export All option exports every record available in the report.
Unlike Export to Excel, this option works across all pages of the report.
For example:
If records exist on pages 1, 2, and 3, all records will be included in the export.
It does not matter which page you are currently viewing.
The export also respects any active filters.
For example:
If you filter the report to show only refresher overdue records, the exported file will contain only overdue records.
If you filter by a specific course or team, only matching records will be exported.
The Refresher Report is one of the most important compliance and auditing tools available to group leaders.
It helps you:
Monitor employee refresher requirements.
Identify overdue training.
Track upcoming refresher deadlines.
Send reminder notifications to users.
Export records for audits and compliance reviews.
Ensure employees maintain valid and up-to-date training records.
Regularly reviewing this report can help organisations stay compliant and avoid training gaps within their teams.
