How to view a user's course and certificate history

The Course History Report allows Group Leaders to view the training history of users within their group. This report provides detailed information about completed courses, completion dates, certificates, course duration, and historical training records.

The report is particularly useful when you need to:

  • Verify when a user completed a course.

  • View certificate history.

  • Check whether a course has been completed multiple times.

  • Review historical training records for compliance purposes.

  • Track refresher training and recertification activity.

Note: Only Group Leaders can access this report, and they can only view the course history of users within their own group.

Accessing the Course History Report

Navigate to the Course History section from your Group Leader account.

The report displays all users within your group and allows you to search for specific users and courses.

Finding a User

At the top of the report, you will find alphabetical filters for:

First Name

Select the first letter of the user's first name to narrow down the list of users.

Surname

Select the first letter of the user's surname to further filter the results.

These filters make it easier to locate users in groups with a large number of employees.

Example

If you are looking for:

John Smith

You can:

  • Select J under First Name.

  • Select S under Surname.

The report will display users matching those criteria.

Understanding the Course History Table

The main report contains several columns that provide information about each user's training records.

User

Displays the user's name.

Course

The Course dropdown allows you to select a specific course for that user.

If a user has completed multiple courses, you can choose the course you wish to review from the dropdown list.

Date of Completion

Displays the most recent completion date for the selected course.

This allows group leaders to quickly identify when the course was last successfully completed.

Certificates List

If certificate records are available, a View Certificates button will be displayed.

Clicking this button opens the user's certificate history for the selected course.

Course Duration

Displays how long it took to complete the course.

Trainer Name

In this column, the trainer name will be shown.


Exporting Course History Data

Group leaders can export the Course History Report by clicking the Download CSV button at the bottom of the page.

The exported CSV file includes key information such as:

  • User name

  • Course name

  • Date of completion

  • Course duration

  • Trainer name

This feature is useful for maintaining training records, auditing purposes, and reviewing employee training history offline.

Note: The exported data only contains records that the Group Leader has permission to access within their own group.

Viewing Certificate History

To view a user's certificate history:

  1. Locate the user in the report.

  2. Select the required course from the Course dropdown.

  3. Click View Certificates.

You will be redirected to the Certificate History page for that specific user and course.


Understanding the Certificate History Page

The Certificate History page contains a complete history of certificates issued for the selected course.

In some cases, you may see multiple certificate records for the same course.

This is normal and can happen for several reasons.

Course Completed Multiple Times

A user may have completed the same course more than once.

Common examples include:

  • Completing the course for the first time.

  • Completing refresher training after the original certificate expired.

  • Retaking the course as part of company compliance requirements.

Each successful completion may generate a separate certificate record.

Certificate Date Changes

In some situations, certificate dates may have been updated or amended.

When this occurs, historical records may remain visible within the certificate history report for auditing purposes.


Understanding the Certificate History Table

The Certificate History page contains the following columns:

Column

Description

Date of Completion

The date the course was completed

Version

The course version completed by the user

Certificate Link

Link to the certificate (if available)

Duration

The time taken to complete the course

Trainer

The trainer name


Date of Completion

Shows the completion date associated with that training record.

This helps identify when the course was successfully completed.

Version

Displays the version of the course that was completed.

This is useful when course content has been updated over time and different users may have completed different versions.

Provides access to the certificate associated with the training record.

In some cases, this column may be empty.

This usually means that a certificate has not been assigned for that particular course or training record.

Duration

Displays the amount of time taken to complete the course.

This information is recorded as part of the training history and may vary between users and course completions.

Trainer

In this column, the trainer name will be shown.


Why Might Multiple Certificates Appear for the Same Course?

It is possible to see two or more certificate records for a single course.

Common reasons include:

Refresher Training

The user completed the course initially and later completed a refresher version after the certificate expired.

Course Retaken

The user completed the course again as part of internal company requirements.

Historical Record Changes

A certificate completion date or training record was updated, resulting in multiple historical entries being retained.

The report preserves these records to provide a complete training history.


How Group Leaders Use This Report

Group leaders commonly use the course history report to:

  • Verify training completion records.

  • Review certificate history.

  • Check refresher training activity.

  • Monitor employee compliance.

  • Confirm course completion dates.

  • Review historical training records during audits.

  • Investigate missing or expired certifications.
